How to send a payment reminder
Is your invoice past its due date and still unpaid? Usually it has simply been forgotten. A polite payment reminder solves it in most cases.
When should you send a reminder?
Wait a few days after the due date: a payment may be on its way. A first reminder about a week after the due date is common. If you hear nothing, send a second one a few weeks later.
What goes in a payment reminder?
- The invoice number, invoice date and due date.
- The amount still due. If you made a credit note, deduct it.
- Your account number (IBAN) and the structured payment reference, so your client can pay straight away.
- A friendly tone, and a request to ignore the reminder if payment has been made in the meantime.
Is your client a private person?
Stricter rules apply to consumers. A first reminder is free of charge, and your client gets at least 14 calendar days to pay before any costs or interest may be added. Ask your accountant what exactly applies to your situation.
How it works in Faktuno
- Yourself (every plan): on an overdue invoice, click Send payment reminder. Faktuno emails your client a polite reminder, in your client’s language, with the invoice PDF attached. If your client is a private person, the 14-day term is included automatically.
- Automatically (Pro): turn on Remind automatically under My company. Faktuno then sends a reminder 7, 21 and 45 days after the due date, as long as the invoice isn’t marked as paid. The day before, around 17:00, you get an email with tomorrow’s reminders. Don’t send skips one.
- The reminder goes out in your name, and your client replies to you directly. If the invoice is already paid, mark it as paid and nothing goes out.
